1. Introduction

This Privacy Policy describes how RepuRent (“we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with our website, client portal, and licensed rental management software (the “Service”).

RepuRent is a web-based platform offered under commercial license to landlords and property managers in the United States. This Policy applies to visitors of our public website, prospective licensees, and licensed clients who use Client Login.

By using the Service, you acknowledge the practices described in this Policy. If you do not agree, please do not use the Service.

2. Information We Collect

Information you provide

  • Contact and account information — name, email address, organization name, phone number, and similar details when you request licensing information, create or manage a client account, or contact us
  • Customer Data — property, unit, tenant, lease, payment, maintenance, and related operational data that licensed clients submit to the Service
  • Communications — content of emails, support requests, and other messages you send us

Information collected automatically

  • Usage and log data — pages viewed, features used, timestamps, referring URLs, and approximate location derived from IP address
  • Device and technical data — browser type, operating system, device identifiers, and similar technical information
  • Cookies and similar technologies — see Section 6

We do not intentionally collect sensitive personal information (such as Social Security numbers, precise geolocation, or health data) through the public website. Licensed clients control what Customer Data they upload; if that data includes personal information about tenants or other individuals, clients are responsible for having a lawful basis to do so.

3. How We Use Information

We use information to:

  • Provide, operate, maintain, and improve the Service
  • Respond to licensing inquiries and manage client relationships
  • Authenticate users and secure accounts (Client Login)
  • Process and host Customer Data as directed by the licensed client
  • Send administrative messages, security alerts, and service-related notices
  • Analyze usage to improve performance, reliability, and usability
  • Detect, prevent, and respond to fraud, abuse, or security incidents
  • Comply with legal obligations and enforce our Terms of Service

We do not sell personal information.

4. How We Share Information

We may share information in the following circumstances:

  • Service providers — vendors who assist with hosting, email delivery, analytics, security, or customer support, under contractual obligations to protect the data
  • Legal and safety — when required by law, legal process, or government request, or when we believe disclosure is necessary to protect rights, safety, or the integrity of the Service
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections
  • With your direction — when you ask us to share information or when a licensed client authorizes access (for example, to a designated user under their account)

Customer Data is processed on behalf of the licensed client. We do not use Customer Data for independent marketing or sell it to third parties.

5. Data Retention

We retain information for as long as needed to provide the Service, fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce agreements.

When a license ends, we will make Customer Data available for export for a reasonable period as described in the applicable license agreement, after which we may delete or de-identify it in accordance with our retention practices, unless a longer retention period is required by law.

6. Cookies and Similar Technologies

We and our service providers may use cookies, local storage, and similar technologies to operate the Service, remember preferences, maintain sessions (including Client Login), and understand how the Service is used.

You can control cookies through your browser settings. Disabling certain cookies may affect login or core functionality.

We do not currently respond to “Do Not Track” browser signals in a uniform way because there is no consistent industry standard for doing so.

7. Security

We implement administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, or alteration. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

You are responsible for maintaining the security of your Client Login credentials and for restricting access to authorized users within your organization.

8. Your Choices and Rights

Depending on your location and relationship with us, you may have rights to:

  • Access, correct, or delete personal information we hold about you
  • Object to or restrict certain processing
  • Receive a copy of personal information in a portable format
  • Opt out of certain communications (administrative and security messages may still be sent)

Licensed clients who need to access, correct, or delete Customer Data (including tenant information they control) should do so through the Service or by contacting us as the data controller for that Customer Data.

To exercise privacy rights related to personal information we hold as a business, contact us at the email below. We may need to verify your identity before responding. If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and opt out of the “sale” or “sharing” of personal information (we do not sell personal information).

9. Children’s Privacy

The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us and we will take appropriate steps to delete it.

10. International Users

The Service is operated from the United States and is intended primarily for U.S.-based landlords and property managers. If you access the Service from outside the United States, you understand that information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

11. Third-Party Links

The Service may contain links to third-party websites or services. We are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. For material changes, we will provide additional notice when appropriate. Continued use of the Service after the effective date of an updated Policy constitutes acceptance of the changes.
